As Terry explains, when researching what areas at law firms need to be optimized, “intake consistently rose to the top because every firm needs it. Every firm struggles with it in some way, and even the ones that are doing phenomenally well, they still see sort of chinks in the armor where they can be improved.”
This creates a structural problem. Plaintiffs firms invest heavily in marketing and case acquisition, but intake systems often lag behind that growth. The result is leakage at the point where conversion should occur.
Mastering intake with AI starts with recognizing that intake is not simply a back-office function. It is a primary driver of case acquisition and revenue capture.
The Core Breakdown Is Communication
Despite advancements in legal technology, communication remains the most persistent challenge in intake.
Terry notes, “Intake has improved greatly over the past ten years, and obviously [there are] many businesses that are that are helping on the legal tech front to do these things. Challenges still exist though. Number one, in just the communication element.”
Breakdowns in responsiveness, follow-up, and clarity create friction for prospective clients. These issues compound as case volume increases. Terry adds, “And leveraging AI is a big way to do that.”
For plaintiffs firms, this marks a shift. Communication is no longer limited by staff capacity. It can be systematized and scaled.
AI Should Solve Simple, High-Frequency Tasks
A common misconception is that AI must solve complex legal work to deliver value. In practice, the greatest impact comes from automating routine tasks that slow intake teams down.
Terry explains, “I think one of the big misnomers for AI, particularly in legal, is that you’re solving for these very complex, very intense things that, frankly, you have lawyers. They went to law school, they understand cases, and that’s what they’re really good at. They’re not necessarily great at going to get a fax number from a hospital, for example.”
He continues, “So where we focused is really on doing those types of simple tasks that are, call them unsexy, but they’re necessary.”
Automating these steps reduces delays, improves throughput, and allows staff to focus on higher-value work.
AI Enables Consistency, Accuracy, and Speed
The most important opportunity for AI in intake is consistency.
Terry identifies the issue directly: “Firms are still having a difficult time creating consistency and accuracy and speed on the upfront process.”
Traditional intake relies on static questionnaires and manual follow-up, introducing variability and missed information.
Terry explains, “I always wanted to figure out a way where you could take that intake process, and we built questionnaires in a simplistic way, so that an intake manager or an intake associate could follow this, this line of questioning and get the right types of answers.”
What was missing was adaptive intelligence within the process.
AI Creates a Smarter, Continuous Intake Loop
With AI, intake becomes dynamic. Systems can identify gaps, improve responses, and initiate follow-up without staff intervention.
Terry explains, “That was one thing we never could quite solve for. And then now, with the advent of AI, it’s a very easy thing to have.” He continues, “I look at that data, understand what’s missing. Understand what answers could be better. And in some cases, even having an AI agent or a voice agent reach back out to those clients to get those simple questions answered.”
This creates a faster, cleaner intake process while maintaining consistent client touchpoints. As Terry notes, “I think nowadays we’re much more used to talking to agents or IVR systems.”
The result is a more responsive system that keeps cases moving without unnecessary delays.
